How PestBooker Works with Field Routes

The mental model: leads, bookings, and the sync

PestBooker sits between your booking page and Field Routes (PestRoutes). It captures prospects as "leads," records paid customers as "bookings," and then stays in sync with your live Field Routes account. Understanding this flow is the foundation for everything else — especially auditing accounts. Field Routes is always the live source of truth for what is scheduled and billed to the customer; PestBooker keeps its own durable copy so your reporting never disappears if something changes in Field Routes.

A lead is created when someone starts booking

  • The moment a customer begins the online booking flow, PestBooker saves a "lead" with their contact info and where they came from (ad, referral, etc.).
  • Lead

    Leads are stored for 90 days. If a lead never converts and is never archived, it ages out automatically — this keeps your "open leads" list focused on real, recent prospects.

  • A lead is just an intent to book. No customer or appointment exists in Field Routes yet.

A booking is created when they pay

  • When the customer completes checkout (payment accepted), PestBooker records a durable "booking" tied to their Field Routes customer ID.
  • CRM

    The booking flow creates the customer record, subscription, and first appointment in Field Routes in one step.

  • The original lead is marked converted, the revenue is captured, and any pending abandoned-cart reminders are cancelled.
  • Bookings are stored permanently (no expiration). Even if the account is later deleted in Field Routes, your PestBooker history of it remains for reporting.

Staying in sync with Field Routes

  • Once a day, PestBooker re-checks every account against live Field Routes. This is what lets the dashboard reflect reality without anyone re-entering data.
  • It recognizes customers who booked another way (call center, inside sales) and labels them as "external" conversions so your attribution stays accurate.
  • It refreshes each booking's appointments and status from Field Routes — new visits, completions, no-shows, and cancellations all flow in automatically.
  • It archives accounts that were deleted in Field Routes and keeps your service names up to date.
  • Tip

    Because the sync runs regularly, a change you make in Field Routes today usually appears in PestBooker tomorrow. The bookings list reflects the last sync, not the live second-by-second state of Field Routes.

Which system is the source of truth?

  • Field Routes is the source of truth for the live schedule, what the customer is charged, and appointment outcomes.
  • PestBooker is the source of truth for where a lead came from, when it converted, how it converted (online vs. call center), and your durable booking history.
  • Tip

    When the two ever disagree, trust Field Routes for the live schedule/billing and use PestBooker to understand the lead's history and attribution. The "Auditing a Customer Account" guide walks through exactly how to reconcile them.

Pro Tips

  • Leads expire after 90 days; bookings never expire — this is by design.
  • The dashboard is a periodic snapshot of Field Routes plus PestBooker's own lead/attribution data, not a live mirror.
  • If a brand-new Field Routes customer is missing from PestBooker, it usually appears after the next sync.
